Privacy Policy

This policy explains what Western Plains Brazilian Jiu-Jitsu ("we," "us," the "Academy") collects when you use this website, why we collect it, and what we do with it.

1. Information We Collect

Information you give us

• Account details — name and email address when you create a member account.
• Profile details — phone number, home address, and emergency contact name, relationship, and phone.
• Profile photo — if you choose to upload one.
• Messages — anything you send through our contact form.

Information created through membership

• Attendance — the classes you check in to and when.
• Rank — belt and stripe promotions, and the dates they were awarded.
• Membership status — whether your subscription is active, and any class credits remaining.

Payment information

We never see or store your card number. Payments are handled entirely by Stripe, a PCI-compliant payment processor. We receive only a customer reference, your subscription status, and amounts charged. Stripe's handling of your card data is governed by Stripe's privacy policy.

2. Children's Information

We enroll students as young as five. Accounts for minors are created and managed by a parent or legal guardian, who provides the information and consents to this policy on the child's behalf.

For minors we collect the same categories listed above. We do not knowingly collect information directly from a child without guardian involvement, and we do not use children's information for advertising or sell it to anyone.

A parent or guardian may review, correct, or request deletion of their child's information at any time by contacting us.

3. How We Use Information

• Operating your membership and processing payments
• Recording attendance and tracking rank progression
• Contacting an emergency contact if someone is injured on the mat
• Responding to your questions
• Understanding overall attendance patterns to plan classes

We do not sell your information. We do not share it with advertisers or data brokers.

4. Who Can See Your Information

• You — full access to your own profile.
• Instructors and staff — your name, photo, belt rank, program, and attendance. Contact and emergency details are available to staff who may need them.
• The check-in kiosk — name, photo, and belt only. It cannot access addresses, phone numbers, or emergency contacts.
• Academy administrators — full access, for managing memberships and records.

5. Service Providers

We rely on third parties to run this site. Each holds data only to provide their service:

• Google Firebase — accounts, database, and photo storage
• Stripe — payment processing
• Netlify — website hosting
• Formspree — contact form delivery

6. Security

Accounts are protected by password and require email verification. Access is restricted by role, and sensitive details — address, phone, emergency contacts — are stored separately from general profile information so that systems like the front-desk kiosk cannot reach them.

No system is perfectly secure. We cannot guarantee against every possible breach, and you share information with us understanding that.

7. How Long We Keep Information

We keep membership records for as long as you are a member and for a reasonable period afterward, so that returning students keep their rank history and so we can meet tax and accounting obligations. You may request deletion at any time, though we may retain payment records where the law requires it.

8. Your Choices

• View and edit your profile at any time through the member portal
• Request a copy of what we hold about you
• Request correction or deletion
• Cancel your membership through the billing portal or by asking us

9. Cookies

We use only what is necessary to keep you signed in. We do not use advertising or tracking cookies.

10. Changes

If we change this policy we will update the date above. Material changes affecting how we use your information will be communicated to members directly.
